Multidrop Live Dashboards – Delivery & Warehouse Overview, Features and User Guide

πŸ“Š Multidrop Live Dashboards - User Guide

The Multidrop dashboards show live operational progress for Delivery and Warehouse work. They are designed for office staff, depot managers and TV displays. Use them to see how routes are progressing, identify problems and open more information about individual routes, export day reports and check preparation forecasts.

Important: The figures reflect the most recently received system data. A route marked as finished means all its drops have been attempted; it does not confirm that the driver has returned to the depot.

πŸ“Š Dashboard Overview

Multidrop provides two live dashboards to help you monitor daily operations. Each dashboard focuses on a different stage of the delivery process.

🚚 Delivery Dashboard – Today's Deliveries

The Delivery Dashboard provides a live overview of deliveries and collections scheduled for the current day.

It allows you to:

  • See all scheduled delivery routes and their progress throughout the day.
  • View how many deliveries and collections have been completed, failed or remain outstanding.
  • Monitor the progress of individual routes, including driver and vehicle information.
  • Identify routes with failed attempts or other issues requiring attention.
  • View the planned drop sequence, recent delivery activity and the next outstanding drop.
  • Receive live notifications as deliveries are completed or failed.
  • Compare performance across depots or focus on one depot.

Best used for: Monitoring drivers and delivery routes throughout the working day, identifying problems and checking delivery progress.

πŸ“¦ Warehouse Dashboard – Tomorrow's Route Preparation

The Warehouse Dashboard provides a live overview of products being picked and loaded in preparation for the following day's scheduled delivery routes.

It allows you to:

  • See which delivery routes are being prepared for the following day.
  • Monitor how many products have been picked or loaded and how many remain outstanding.
  • Track preparation progress for individual routes and orders.
  • Identify routes that are fully prepared and ready for dispatch.
  • Highlight routes where picking or loading progress may have stopped.
  • Receive notifications when products are prepared or a route becomes ready.
  • Compare warehouse preparation progress across depots.
  • View an estimated finish time when enough useful preparation activity has been recorded.

Best used for: Warehouse teams preparing the following day's deliveries, monitoring picking and loading, and identifying routes that still require attention.

πŸ“… Which Date Does Each Dashboard Show?

  • Delivery Dashboard: Automatically shows today's scheduled routes.
  • Warehouse Dashboard: Automatically shows tomorrow's scheduled routes.
  • Both dashboards: Allow you to choose another date when required.

Example: If today is Thursday, the Delivery Dashboard shows Thursday's routes, while the Warehouse Dashboard shows routes being prepared for Friday.

Please note: These are the default dates when automatic date selection is enabled. Both dashboards can be used to view other dates.

πŸš€ Opening the Dashboards

There are two ways to open a dashboard, depending on your account access.

Management Users – User Level 1

Management users can open either dashboard from the main Multidrop system:

  1. Sign in to Multidrop with your management account.
  2. Open System and select Other Options.
  3. Choose BETA Delivery Dashboard or BETA Warehouse Dashboard.

Management users can switch between dashboards and, where permitted, open the full route page from a route information popup.

Dedicated Dashboard / TV Users – User Level 6

A dedicated dashboard account is suitable for a depot TV, warehouse display or shared monitoring screen. It provides dashboard access without giving the user access to the rest of the Multidrop system.

  1. A management user creates a dashboard user in the system's user management menu.
  2. Set the user access level to 6 – Dashboard.
  3. Allocate the Delivery or Warehouse dashboard that the screen should display.
  4. On the TV or computer being used, open Multidrop and sign in with that dedicated dashboard account.
  5. The allocated dashboard opens automatically after sign-in. It can then be left running and refreshing.

Important: Dashboard users cannot access the full Multidrop system. They can view route information inside the dashboard, but the Open full route option is only shown to management users with level 1 access.

Tip: Create a separate dedicated account for each permanent dashboard screen where appropriate. This makes it easier to manage which dashboard each screen uses.

Dates and Access

  • The date is shown beside the Delivery Progress or Warehouse Progress heading, including in full screen.
  • With Auto current date enabled, Delivery shows routes scheduled for today and Warehouse shows routes scheduled for tomorrow.
  • The date updates automatically when the day changes.
  • To view a different date, use the route date selector. The manually chosen date stays selected until you change it or turn automatic date selection back on.
  • Each account only sees the information it is permitted to access.

πŸŽ›οΈ Main Dashboard Controls

The controls along the top let you choose what to display. On smaller laptops and screens, some buttons are grouped under More to keep the header tidy. Their functions remain the same.

  • Route date: Select the day you want to view. Use Auto current date to follow today (Delivery) or tomorrow (Warehouse) automatically.
  • Depot: Select all depots or just one. The chosen depot is also shown in the header.
  • Find route / driver: Search by route, vehicle, driver or mate.
  • Show routes (Delivery): Show all routes, routes needing attention, routes with failures, incomplete routes, not started routes or fully successful routes.
  • Sort: Change the order of route cards, for example by route name, progress, failures or outstanding work.
  • Routes per page: Auto-fit screen fits the cards to your screen. Show all routes may require scrolling.
  • Hide finished routes: Hide routes that have finished without issues. Delivery routes with failures remain visible for review.
  • Data refresh: Updates figures automatically. The default is every 60 seconds and the shortest available interval is 45 seconds.
  • Page scroll: Choose how often the screen moves to the next page of route cards, or set it to Off.
  • Pause / Play icons: Pause or resume automatic page scrolling without stopping data updates.
  • Refresh icon: Fetch the latest figures immediately.
  • Sun / Moon icons: Switch between light and dark appearance.
  • Sliders / settings icon: Open dashboard diagnostics and connection information.
  • Full screen: Expand the dashboard to fill the screen, ideal for a TV.
  • More: Open additional dashboard actions where screen space is limited, such as Attention, Exceptions, Recent activity, reports and depot comparisons.

Please note: Data refresh and page scroll are separate. Changing how quickly the pages move does not make the figures update more frequently.

Tip: Use Auto-fit screen for TVs. The layout is designed to keep cards stable rather than jumping around whenever the dashboard changes pages.

πŸ“¦ Understanding Warehouse Figures

The Warehouse Dashboard shows how products are being prepared for upcoming deliveries. It helps you see which routes are ready, how many products have been picked or loaded, and how much work remains.

  • Total orders: The number of orders containing products that need to be prepared for delivery.
  • Prepared orders: Orders where all products requiring delivery have been picked or loaded.
  • Outstanding orders: Orders where one or more delivery products still need preparing.
  • Total products: The number of products that need to be prepared for delivery.
  • Products picked / loaded: Products that have already been prepared for delivery.
  • Products remaining: Products that still need to be picked or loaded.
  • Routes ready: Routes where all products requiring delivery have been prepared.
  • Progress bars: Show how much Warehouse preparation work has been completed.

Which Products Are Included?

The Warehouse Dashboard includes products that need to be prepared for delivery, regardless of whether the order is a standard delivery, collection or exchange.

  • Delivery orders: Products being delivered are included.
  • Collection orders: Any products that also need delivering are included.
  • Exchange orders: Products being delivered to the customer are included.
  • Products being collected: These are excluded because they do not need preparing for delivery from the warehouse.

Products are counted as prepared when the system records them as picked, loaded or completed, depending on the preparation process being used.

Example: If a route contains 51 products for delivery and 41 have been prepared, the route is 80.4% prepared, with 10 products remaining.

Please note: A route being fully prepared does not necessarily mean the vehicle has departed.

🚚 Understanding Delivery Figures

The Delivery Dashboard shows how routes are progressing throughout the day, including successful deliveries, failed attempts and work that remains outstanding.

  • Total orders: The number of orders scheduled across the selected routes.
  • Completed: Orders successfully delivered or collected.
  • Failed: Orders where a delivery or collection attempt was unsuccessful.
  • Outstanding: Orders that still need to be attempted.
  • Routes finished: Routes where every scheduled drop has been attempted.
  • Routes with failures: Routes containing one or more unsuccessful attempts.
  • Attention required: Routes with failed attempts or work still outstanding.
  • Not started: Routes where no delivery or collection attempts have been recorded.

Important: A route marked as finished means that all drops have been attempted. It does not confirm that the driver has returned to the depot.

🎨 Route Card Colours and Statuses

Each Delivery route card has a coloured strip along its left-hand edge. This makes it easy to see whether a route has started, is in progress, is finished or contains failed attempts.

  • 🟠 Orange – Not started: No delivery or collection attempts have been recorded yet.
  • πŸ”΅ Blue – In progress: Some drops have been attempted and others remain outstanding.
  • πŸ”΅ Blue / πŸ”΄ Red – In progress with failures: The route is still in progress and at least one delivery or collection attempt has failed. For example: In progress Β· 1 failed.
  • 🟒 Green – Finished: Every scheduled drop has been attempted successfully.
  • 🟒 Green / πŸ”΄ Red – Finished with failures: All drops have been attempted, but one or more were unsuccessful. For example: Finished Β· 2 failed.

πŸ”΄ What Does the Red Strip Mean?

If a route has one or more unsuccessful delivery or collection attempts, half of the coloured strip on its left-hand edge appears red. The other half shows the route's progress colour (blue when in progress or green when finished).

Important: The red half is a warning that failures exist. It does not mean 50% of the drops have failed. The actual number of failed attempts is shown separately on the route card.

🚨 Flashing Red Route Warning

When a new failed delivery or collection attempt is reported, the affected route card briefly flashes with a red outline.

This warning helps office and depot staff quickly identify routes where a new problem has occurred.

  • Flashing red outline: A new failed attempt has recently been recorded.
  • Duration: The flashing warning lasts approximately 10 seconds before stopping automatically.
  • Permanent red strip: The red section on the left of the card remains visible to indicate that the route has one or more failed attempts.
  • Further information: Click the route card to review its latest activity and delivery outcomes.

Please note: The flashing warning highlights newly reported failures. Existing failures will continue to appear in the route figures and coloured status strip, but will not flash continuously.

πŸ“Š Understanding the Progress Bar

The progress bar within the route card is different from the coloured strip. It shows the actual breakdown of the route's drops:

  • Green: Successfully completed deliveries or collections.
  • Red: Failed delivery or collection attempts.
  • Orange: Drops still outstanding.

The route card also shows the route name, depot, vehicle, driver and mate where available, plus order counts and progress percentage.

Please note: A finished route means all its scheduled drops have been attempted. It does not confirm the driver has returned to the depot.

πŸ”Ž Opening a Route – Information Popup

Click any route card or pinned route to open its information popup. This lets you investigate without leaving the live dashboard.

  • View the route name, vehicle registration, driver and mate.
  • See total, completed, failed and outstanding orders.
  • In Warehouse, see product totals, prepared products and remaining products.
  • In Delivery, see the last recorded delivery or collection attempt, where available.
  • Management users (level 1) can select Open full route for the complete route page. This option is not available to dedicated Dashboard / TV users (level 6).
  • Use Pin route to keep an important route visible above the main route grid.
  • Automatic page scrolling pauses while you inspect the popup, but the dashboard continues receiving updates.

Ordered Drops and the Next Planned Drop

The Delivery popup can load a route's planned drop sequence, with the outcome of each drop. Click Refresh drops to update the list immediately; it also updates after successful automatic dashboard refreshes while the popup is open.

  • Green – Completed: Successful drop.
  • Red – Failed: Failed drop.
  • Orange – Earlier unattempted: An earlier drop without a recorded attempt, even though the driver has recorded activity further along the planned route.
  • Grey – Outstanding: Drop not yet attempted.
  • Next unattempted: The first outstanding drop after the driver's most recent recorded delivery or collection attempt in the planned sequence.

Example: If the driver has recorded an attempt at drop 17 but drops 1 and 2 remain unattempted, the popup can show Next unattempted: drop 18 and Earlier unattempted: drops 1 and 2. It does not incorrectly claim the driver is still on drop 1.

Please note: The next unattempted drop is based on the planned route and recorded delivery or collection attempts. It is not GPS-confirmed proof of the driver's current location or actual next destination. Drivers may work out of sequence.

πŸ“Œ Pinned Routes

Pinned routes allow you to keep important routes visible while the dashboard automatically moves between pages.

  • Pin up to five routes using the Pin route button inside the route information popup.
  • Pinned routes appear in a dedicated section above the normal route grid.
  • Pinned routes continue displaying their latest progress information as the dashboard refreshes.
  • Click a pinned route to open its information popup.
  • Use the small Γ— button to remove a pinned route.
  • Pinned routes are remembered in the current browser, separately for Delivery and Warehouse.

Please note: Pinned routes take up some space above the main route grid. This may slightly reduce how many other routes can fit on the screen when using Auto-fit screen.

Tip: Pin routes that need regular attention, such as routes with failed deliveries or outstanding Warehouse preparation.

⚠️ Attention List and Exceptions

The dashboard includes two ways to help you identify routes that may need reviewing.

  • Attention List: Shows routes with failed attempts or outstanding work, helping you decide which routes to check first.
  • Exceptions: Highlights possible problems, such as failed deliveries, routes with no recent activity, or warehouse preparation that has stopped progressing.

Please note: A route with outstanding deliveries is not necessarily experiencing a problem. Drivers may still be working through their scheduled stops.

πŸ”” Activity Notifications and Progress Milestones

Small notifications appear over the dashboard as work progresses. They disappear automatically, so they do not permanently take up screen space.

  • Delivery: Notifications for newly recorded successful or failed attempts.
  • Warehouse: Notifications when additional eligible delivery products are picked or loaded.
  • Route ready: Notification when a Warehouse route changes from not fully prepared to fully prepared.
  • Milestones: Brief messages when overall progress crosses 25%, 50%, 75% or 100%. Delivery milestones refer to drops attempted, not drivers returning to the depot.
  • Priority: New failed deliveries take priority over routine changes; Warehouse routes becoming ready are also prioritised.
  • Queue: Up to three activity toasts appear at once. Other meaningful events wait in a limited queue rather than displaying vague β€œadditional activity” messages.
  • Activity: On / Off: Use the header control to enable or disable activity notifications on that screen.
  • Notifications are generated from changes detected between successful updates. Opening the dashboard for the first time should not produce a backlog of previous activity notifications.

Colours: Successful activity and route readiness are green; failed delivery activity is red. Notifications automatically follow the selected light or dark theme.

⏱️ Warehouse Forecast – Estimated Finish Time

The Forecast estimates when the remaining products for the selected Warehouse routes may be picked or loaded. It helps teams plan their work, but it is not a guaranteed finish time.

Why Does the Forecast Need Plenty of Data?

The dashboard needs a useful amount of recorded picking or loading activity to understand the speed at which products are being prepared. Having products already marked as prepared is not, by itself, enough to calculate how quickly the remaining work will be finished.

  • When enough recent preparation activity has been recorded, the dashboard can estimate a finish time.
  • If products are prepared in batches, the estimate may use earlier recorded activity. This is shown as an indicative forecast and may be less reliable.
  • If there is too little activity, no recent scans, or preparation has not started, the dashboard may show Waiting for data or another explanation instead of a time.
  • The system continues collecting progress information even when the dashboard is refreshed or closed.

Understanding the Forecast

  • Estimated finish: The predicted time when the outstanding products may be prepared.
  • Today / Tomorrow / date: If the estimate falls on another day, the button shows this so the time is not mistaken for today. The popup gives the fuller date.
  • Products remaining: The current number of products that still need preparation.
  • Preparation speed: Approximately how many products have been prepared per hour during the activity used for the estimate.
  • Indicative: Based on earlier activity rather than sufficiently recent continuous work. Actual completion may differ substantially.
  • Individual depot: Selecting a depot gives an estimate for that depot where enough information exists.
  • All depots: The overall estimate considers the depot expected to finish last. It may be unavailable if any depot still has outstanding products but not enough information to calculate its finish time.

Why Does the Forecast Change or Show Waiting?

The estimate changes as staff work, and when orders, routes or the number of products change. It can also become unavailable if there has not been enough useful preparation activity.

Examples: A warehouse with regular scans may receive an estimate fairly quickly. A depot that loaded most of its products yesterday, or one that has not started yet, may need more activity before a useful prediction can be made.

Where available, open the Forecast popup to see more information. If the overall forecast is waiting, individual depot information can help explain why.

Important: A forecast assumes preparation continues at a similar pace. It does not automatically allow for staff breaks, shift changes, overnight closures or vehicle departure times.

πŸ“‹ Day Reports – Exporting Delivery and Warehouse Figures

Use Day report to download a CSV report for the dashboard, route date and depot you are currently viewing. On smaller screens, this option may be under More.

  1. Open the Delivery or Warehouse dashboard.
  2. Select the route date and depot you need.
  3. Select Day report (or More then Day report).
  4. Open the downloaded CSV file in Excel or your preferred spreadsheet application.

Delivery Report

The Delivery report focuses on what happened on each route. It includes the route name, depot, vehicle and crew information where available, along with completed attempts, failed attempts, outstanding deliveries and route status.

Warehouse Report

The Warehouse report focuses on preparation for the selected route date. It includes the route name and depot, prepared and outstanding orders, total delivery products, products picked or loaded, products remaining, preparation percentage and whether a route is ready.

Important: Day reports are downloaded when you choose to export them. They are a snapshot of the information available at that time, not an automatically emailed report or a permanent historical record. Figures can change if routes or orders are updated after the export.

πŸ“¦ Nearly Ready – Warehouse Routes

The Nearly ready option helps warehouse teams identify routes that need only a small amount of work to be fully prepared.

  • Shows unfinished routes that are closest to being ready.
  • Helps identify routes with only a few products remaining.
  • Allows you to open the route information popup for more detail.
  • Updates as the Warehouse Dashboard receives new preparation figures.

Tip: Use Nearly ready when deciding which routes to finish first. A route being ready means its products are prepared; it does not mean the vehicle has departed.

πŸ•˜ Recent Activity

The Recent activity panel lets you review changes noticed by the dashboard, including information you may have missed when a small notification disappeared.

  • Delivery: Recent successful and failed delivery or collection attempts.
  • Warehouse: Product preparation progress and routes becoming ready.
  • The panel shows activity detected while the dashboard is running and receiving successful updates.
  • It is not a complete, permanent history of every activity in Multidrop.

Tip: Open Recent activity from the header or the More menu if you have been away from the screen.

🏒 Depots and Display Presets

Use Depots to compare progress across your depots. Select All depots to see an overall comparison, or choose an individual depot to focus on its routes and progress.

The Display preset menu provides recommended settings depending on how you are using the dashboard:

  • Depot TV: Displays routes needing attention first. Dashboard information refreshes every 60 seconds, and the displayed route page automatically changes every 30 seconds.
  • Office: Displays routes needing attention first. Dashboard information refreshes every 60 seconds, but automatic page scrolling is switched off so you can stay on the same page.
  • Management: Displays the least complete routes first. Dashboard information refreshes every 60 seconds, and the displayed route page automatically changes every 60 seconds.
  • Custom: Allows you to choose your own settings, including how often information refreshes and whether pages change automatically.

Data refresh: Controls how often the dashboard retrieves the latest information from Multidrop. The default is 60 seconds, with options of 45, 60, 90 or 120 seconds. The minimum refresh interval is 45 seconds.

Page scrolling: Controls how often the dashboard moves between pages of routes. This is separate from data refresh, so turning off or pausing page scrolling does not stop the dashboard from updating its figures.

All three recommended presets use Auto-fit screen, which automatically adjusts the number of routes displayed to make the best use of the available screen space.

Changing a display preset does not change your selected route date, depot or light/dark theme. Your preferences are saved in the current browser, separately for the Delivery and Warehouse dashboards.

πŸ–₯️ Full-Screen TV and Kiosk Mode

  • Use the Full screen button to make the dashboard fill the display.
  • When fullscreen has been idle for approximately 8 seconds, the buttons and filters fade away.
  • The depot-view and last-update/health information stays visible and moves to the right of the header.
  • Move the mouse, touch the screen or use the keyboard to show the controls again.
  • Data refreshes, page scrolling and notifications continue while kiosk controls are hidden.
  • Auto-fit is designed to avoid unnecessary resizing during page changes.

Screen sleep: The dashboard can request a browser screen wake lock where supported. Browser or Windows power settings may still need adjusting to keep the TV on.

🩺 Last Update, Connection Health and Diagnostics

  • The header shows when data was last refreshed and how old the displayed figures are.
  • A warning appears when data becomes stale or a refresh fails.
  • Previous successful figures remain visible if a new request fails, instead of clearing the screen.
  • Automatic refresh attempts continue after a temporary connection problem.
  • The connection indicator can show how quickly the latest update was received and whether recent refresh attempts have failed.
  • The Diagnostics panel provides additional refresh and performance information and the dashboard version number.
  • For older selected dates, automatic polling may be disabled to avoid unnecessary database requests. You can still load historical data manually.

Important: A dashboard displaying old figures may look normal at first glance. Always check the last updated indicator if the figures seem incorrect.

❓ Common Questions and Troubleshooting

Why can't I open the full route page?

The Open full route link is only available to management users with access level 1. Dedicated Dashboard / TV accounts can use the information popup, but do not have access to the full Multidrop system.

Why does the Warehouse forecast show tomorrow when the routes are for tomorrow?

The date next to the dashboard title is the scheduled route date. The date shown in the forecast is the estimated time when preparation might finish. They are separate and may be different days.

Where is the Day report button?

Look along the top toolbar. On a smaller screen, open More and select Day report. It exports the selected dashboard's data to a CSV file.

Why is the forecast waiting even though some products are already prepared?

The forecast needs enough useful picking or loading activity to work out a preparation speed. Existing prepared totals alone cannot tell it how long the outstanding work will take. Some depots may already have finished most of their work earlier.

Why does the Warehouse Dashboard not include products being collected?

The Warehouse Dashboard focuses on products that need to be prepared for delivery.

Products being delivered are included, even when they are part of a collection or exchange order.

Products being collected from customers are not included because they do not need to be prepared for delivery from the warehouse.

Why is a Delivery route green and red?

All its drops have been attempted, but one or more had a failed outcome. Green means the work has been attempted; red highlights the failures. It does not mean the driver has returned.

Why does the popup show an earlier outstanding drop?

The driver may have continued to later drops without debriefing an earlier one. Those earlier drops are still outstanding, but the popup uses the latest recorded attempt to identify the next unattempted drop further along the planned sequence.

Why is the Forecast button grey?

There may not be enough recorded picking or loading activity to calculate an estimate, or one or more depots may still be awaiting preparation activity. Hover over the button for more information.

Why does the dashboard still show figures after an error?

It retains the last successful figures to avoid a blank TV screen. Check the refresh indicator to see how old the information is.

Why are the route cards not changing pages?

Check whether Page scroll is set to Off, Pause scroll is active, the route popup is open or there is only one page of results.

Why has the number of visible routes changed?

Check the depot, date, route search, Show routes filter, Hide finished routes option and Auto-fit setting.

Why does a Warehouse route show no recent activity?

Stall alerts depend on changes observed while the dashboard is running. A warning is not proof that staff have done no work; it means the prepared total has not changed during the observed period.

Why are there fewer routes in the Warehouse view than Delivery?

Routes containing only collections, or no eligible delivery products, do not contribute to the Warehouse picking/loading view.

βœ… Good Practice for Office and Depot Teams

  • Use All depots for an overall operational view, or select your depot for a focused display.
  • Keep Auto-fit screen selected for office TVs.
  • Use Attention first sorting and the Exceptions panel to investigate genuine problems.
  • Use Nearly ready to identify Warehouse routes closest to completion.
  • Export a Day report when you need a copy of the current Delivery or Warehouse figures.
  • Use the route popup and ordered-drop timeline before assuming a driver has skipped a stop.
  • Remember that finished drops and driver returned to depot are different events.
  • Check the last-updated indicator before acting on unexpected figures.
  • Treat Warehouse finish times as estimates, not guaranteed times.
  • If the dashboard behaves unexpectedly, try the Refresh icon and check dashboard settings/diagnostics before contacting support.

πŸ†˜ Need Help?

If figures appear incorrect or a feature is not working, contact your Multidrop administrator or support team. Please include:

  • Whether you are using Delivery or Warehouse.
  • The selected route date and depot.
  • The route ID or route name, where relevant.
  • A screenshot and the exact error or message displayed.
  • The last updated time and dashboard version shown in Diagnostics.

This information helps support identify the issue without affecting the live dashboard.
