When you first access the system, it can feel a little overwhelming — especially if you’re starting from a blank setup. But don’t worry — we’ve created a step-by-step video playlist to help you get started.

This guide explains what each video covers, in the order we recommend you watch and action them. You’ll find the playlist link at the bottom of this page.

1. Internal Users
Learn how to set up system access for your internal team — who can log in, what they can do, and how to manage permissions.

2. Global System Settings
Covers your main company-wide settings. You probably won’t need to change most of these, but you’ll want to review:

  • App vehicle check labels
  • Invoicing and POD footers

3. Company Depot Locations
Add your depots and, if you’re using our scanning hardware, create internal stock locations within each depot.

4. Company Depot Zones
Use this feature to automate which orders go to which depot — useful if you have multiple depots or use subcontractors.

5. Communication Templates (SMS & Email)
Customise the automated messages sent to recipients, customers, and internal staff. You can change the wording to suit your business tone.

6. Customer Accounts
Create and manage customer accounts. You’ll need this to complete orders, raise invoices, and generate reports.

7. Customer Users
Let your customers log into their portal so they can place orders, view status updates, and add notes.

8. Company Vehicles
Add your company vehicles so they can be linked to routes, reports, and maintenance tracking (like MOTs and service logs).

9. Company Employees
Add your drivers and crew. They can be assigned to routes, orders, and reports. You can also manage absences and keep track of licences.

10. Sub-Contractors
Set up external subcontractors so you can assign them work directly from the system.

11. Company Assets
Add items like phones, PDAs, and driver packs to the system. These can be linked to employees and routes.

12. Company Fuel Cards
Track fuel and mileage by adding your fuel cards and linking them to vehicles and reports.
